Agency Terms & Conditions

Effective as of October 1, 2025

At Reach for the Magic Destinations, we believe your vacation should be filled with excitement, not confusion.

These terms outline key details about booking, payments, travel documents, and more so you know what to expect and how to travel with confidence. They’re designed to protect you, your travel investment, and the magic we’re creating together.

Quotes, Pricing & Availability

All quotes are based on pricing and availability at the time provided and are not guaranteed until a reservation is confirmed and a deposit is made.
Special offers, discounts, and promotions are subject to eligibility and availability and may change without notice.
We recommend selecting the package or cruise that best fits your needs, wishes, and budget, rather than relying on promotions that may not be available later.
Prices are dynamic and can fluctuate based on supplier availability, promotions, and seasonal demand.

Confirmation & Accuracy

Upon receiving your confirmation documents, please review all trip details immediately, including traveler names, dates, destinations, and room/cabin types.
Notify your Travel Advisor within 24 hours if corrections are needed.
Reach for the Magic Destinations is not responsible for errors or omissions not reported promptly.

Payments

All payments are made directly to the vendor/supplier through their secure booking portal.
We do not accept cash or checks for client bookings.
Deposits and final payments must be made by the deadlines provided to avoid automatic cancellation by the supplier.
If a booking is cancelled for non-payment, any rebooking is subject to new pricing and availability.
Cancellation/change fees vary by supplier and will be outlined in your confirmation documents.

Travel Insurance

We strongly recommend purchasing travel insurance to protect your trip investment.
Travel insurance may cover interruptions, cancellations, delays, medical emergencies, or baggage issues, but coverage varies by policy.
Travel insurance premiums for land packages are typically due at the time of enrollment.
If you decline insurance, we will ask you to sign a waiver acknowledging your decision and personal responsibility.
We are not licensed insurance agents and cannot provide specific coverage advice. For full details, please refer to the insurance provider directly.

Airfare

Due to regulatory restrictions, Reach for the Magic Destinations does not book standalone airfare.
Airfare included in a package or cruise booking is subject to the airline’s ticketing rules and policies.
Airline changes, cancellations, and baggage fees are the responsibility of the traveler and governed by the airline’s terms.

Travel Documents

Travelers are responsible for securing all required documents, including passports, visas, vaccinations, and any destination-specific entry requirements.
For international travel, your passport must be valid for at least six (6) months beyond your return date.
If you have a criminal record or unique circumstances, you are responsible for verifying entry eligibility with your destination’s embassy or consulate.
Reach for the Magic Destinations is not liable for denied boarding or entry due to incomplete, invalid, or missing documentation.

Responsibility & Limitation of Liability

Reach for the Magic Destinations and your travel advisor act solely as booking agents for third-party suppliers (including but not limited to cruise lines, airlines, hotels, tour companies, and attractions). We do not own or operate these services and are not responsible for their performance.

We are not liable for:

Defaults, acts, or omissions of any supplier
Service interruptions, equipment failures, or overbookings
Natural disasters, pandemics, labor strikes, or political unrest
Transportation delays or missed connections
Illness, injury, or financial losses incurred before or during travel

All clients are responsible for reviewing and complying with the terms and conditions of their selected travel suppliers.

Limitation of Liability: In no event shall Reach for the Magic Destinations or your travel advisor be liable for any incidental, consequential, or punitive damages. Our total liability, if any, shall not exceed the amount paid directly to us for our planning services.

Force Majeure

We are not responsible for trip interruptions, delays, or non-performance resulting from circumstances beyond our control, including but not limited to:

Weather, natural disasters, or pandemics
Acts of government, terrorism, or political unrest
Supplier insolvency or operational disruption

No refunds or reimbursements will be issued for delays or changes caused by such events. We strongly recommend purchasing travel insurance to protect your trip investment.

Cancellations, Refunds & Supplier Policies

All reservations are subject to the cancellation and refund policies of the individual supplier.
These policies may include penalties or 100% loss of funds depending on timing.
It is your responsibility to review and understand those terms at the time of booking.

Chargebacks & Dispute Resolution

By booking travel with us, you agree not to initiate a credit card chargeback without first giving Reach for the Magic Destinations the opportunity to resolve the issue directly.

Unwarranted chargebacks may result in legal or collection action to recover agency losses.

Assumption of Risk

By confirming your reservation and proceeding with travel, you agree to these Terms and voluntarily assume all risks associated with your trip - whether expected or unexpected.

This includes, but is not limited to:

Travel disruptions or delays
Health concerns, illness, or required quarantine
Changing local regulations or entry requirements
Transportation or itinerary changes beyond our control

You accept full responsibility for these risks on behalf of yourself and all travelers included in your booking.

You also agree to hold Reach for the Magic Destinations and your Travel Advisor harmless for any issues arising from circumstances outside our control.

Nothing in this agreement waives your legal rights with regard to the suppliers of travel services.

Third-Party Links

Our website and digital resources may include links to external websites or blogs for your convenience. Please note that Reach for the Magic Destinations is not responsible for the content, policies, or privacy practices of those third-party websites. We encourage you to review their policies before submitting any personal information.

Tours and activities linked from our site are provided by third-party marketplaces and suppliers. Bookings are governed by their terms, policies, and service standards. Reach for the Magic Destinations is not the operator of these services. Please review cancellation windows, meeting locations, timing (‘back-to-ship’ where applicable), and accessibility details on each listing. Bookings and any information you provide on those sites are governed by the marketplace’s terms and privacy policies.

Privacy

We are committed to protecting your personal information. Please refer to our full Privacy Policy for details on how your data is used and stored.

Governing Law

This agreement shall be governed by the laws of the State of Wisconsin, and any legal disputes shall be resolved in the appropriate courts of that state.

Final Notes

By working with Reach for the Magic Destinations, making payment, or completing any form, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
